Terms & Conditions – VooTours Tourism LLC

Thank you for choosing VooTours Tourism LLC. By booking a trip through our website, you agree to abide by the following Terms & Conditions. Please read them carefully to ensure you fully understand the guidelines and requirements of your selected tour.

These terms apply to all bookings made via our official website www.vootours.com and www.hotairballoondubai.me
associated platforms.

1. Pricing

Our pricing policy ensures competitive rates with the convenience of secure online booking.
Unless otherwise stated, rates are quoted per person and exclude gratuities, passport/visa fees, travel insurance, meals/drinks, accommodation extras, and personal expenses (e.g., laundry, room service).
Prices may change without prior notice due to unforeseen circumstances such as increased airfare, hotel rates, or transport costs.

2. Methods of Payment

We accept online payments through Visa and MasterCard (credit/debit cards) in AED (or another agreed currency).
Full payment must be made at the time of booking. Payment will appear on your card statement under our business name.

3. Confirmation of Payment

Upon successful payment, you will receive a confirmation email with a booking slip.
Please ensure that all travel details provided at the time of booking are accurate, as these will be used to process your tour package.

4. Cancellation, No Show & Refund Policy

4.1 Cancellation

48+ hours before tour: No cancellation charges.
24–48 hours before tour: 50% cancellation charges apply.
Less than 24 hours before tour: 100% cancellation charges apply.
For online payments, a 5% service fee applies to all refunds.
Gift certificates are non-refundable and non-cancellable.

4.2 No Show

Failure to show up for a tour will be considered a no-show, with no refunds provided.
This also applies to unused tickets, transfers, sightseeing tours, chauffeur-driven services, or missed activities.

4.3 Refund Policy

Refunds (if applicable) will be processed only via the original mode of payment within the applicable timeline.
A 5% online service fee will be deducted for credit/debit card refunds.

5. Cancellation Procedures

All cancellations must be submitted in writing (email or official notice).
Upon receiving your request, we will confirm cancellation via email or phone, along with applicable charges.
VooTours LLC is not responsible for cancellations not received or unconfirmed.

6. Itinerary Amendments

Tour itineraries are subject to change due to local/weather conditions, airline schedules, or operational requirements.
If changes occur, we will provide suitable alternatives of equal value (where available).
No compensation will be given for changes due to force majeure (e.g., natural disasters).

7. Travel Insurance

VooTours LLC is not liable for accidents, illness, injury, loss of personal belongings, or trip cancellations.
We strongly advise all guests to obtain comprehensive travel insurance before traveling.

8. Travel Documents

Guests are responsible for carrying valid travel documents (passport, ID, visa).
VooTours LLC is not liable for denied entry or missed tours due to incorrect or missing documents.

9. Website Usage Restrictions

All content on home – Hot Air Balloon Dubai and www.vootours.com (logos, images, pricing, information) is proprietary.
You agree not to use website content for commercial, illegal, or unauthorized purposes.

10. General Terms & Conditions

Payments must be made online via Visa/MasterCard.
All disputes are governed by the laws of the UAE.
UAE is the country of domicile for VooTours LLC.
Users under 18 are prohibited from registering or making transactions on our website.
Payment details are transmitted securely via a third-party payment provider.
Multiple bookings may result in multiple postings on a customer’s bank statement.
Tours are subject to availability and are conducted in English (except the scheduled German Bus Tour).
Child rates apply for ages 4–12 years; children under 3 travel free but must sit on their parent’s lap.
Off-road safaris (e.g., dune bashing) are not recommended for pregnant women, individuals with heart conditions, or other serious health issues.
Quad bike and dune buggy activities require signing a disclaimer form. VooTours LLC is not liable for accidents or damages and these are not covered by insurance.
Smoking, alcohol consumption, or carrying alcohol is prohibited in all vehicles.
Photography of military, police, or government sites is strictly prohibited. Photographing locals requires prior permission.
During Ramadan, entertainment activities such as belly dancing and alcohol service will not be available.
Pick-up and drop-off times are approximate and may vary due to traffic or location.
Guests must arrive on time at designated pick-up points; late arrivals will be treated as no-shows.
Coupon codes can only be applied during the online booking process.
Unused inclusions in tour packages are non-refundable.
VooTours LLC reserves the right to adjust prices, reschedule itineraries, or cancel tours when deemed necessary for safety or operational reasons.
